City Clerk's Office

The City Clerk’s Office is a key communications link between City Council, staff and the community. Key responsibilities include: 

  • Managing statutory notification processes
  • Preparing agendas and minutes for Council and Committee meetings 
  • Managing corporate records, including City bylaws and Freedom of Information requests 
  • Providing administrative support to Council and its Committees 
  • Providing operational support services (reception and mail services)
  • Conducting local government elections
  • Operating the City Archives

Council and Committee Meetings

The primary function of City Council is to consider the interests and well being of the public and the City, and to use its powers for the benefit and protection of its citizens. Council does this through the establishment of administrative policies and the adoption of bylaws at Council meetings. 

Most Council Committees are chaired by Councillors with additional Councillors serving as Vice-Chair and/or members of the Committee. The membership of some Committees (Standing Committees) are made up of only Council members, while others have both Council members and citizen and/or organization representatives. Public Notices

In accordance with the Public Notice Bylaw No. 5334, 2023, the City provides statutory notices electronically on the City's website, through the City's email subscription service in addition to posting notices at City Hall. View current public notices

Freedom of Information and Protection of Privacy

The Freedom of Information and Protection of Privacy Act (the Act) promotes two general principals:

  • Freedom of Information (FOI) is the idea that people ought to have access to records held by public bodies (with a few limited exceptions)
  • Protection of Privacy is the idea that a person have the right to expect that information about oneself will not be collected, used or disclosed without their consent.

Elections

The City of Coquitlam holds elections in accordance with the Local Government Act, the Community Charter and the School Act. Visit the Elections page for more information regarding previous or upcoming election information. 

City Archives

The City of Coquitlam Archives was founded in 2013 with the mandate to preserve and make accessible the records of enduring value to the City of Coquitlam and it's predecessor administrative bodies. The Archives also acquires, preserves and makes accessible the records of businesses, organizations and private individuals that are of significance to the municipality and deemed worthy of long-term preservation.
